For an exhibition trip, the working day often begins before the public opening time. Your team may need a briefing, an exhibitor access window or a meeting at another address. Plan the travel around those commitments before comparing flights and hotels.
This checklist is for companies sending visitors, exhibitors or delegates to an Abu Dhabi event. It covers travel coordination. Event registration, stand access and exhibition logistics remain subject to the organiser’s own instructions.
Confirm the event brief before booking
Record the event name, exact venue, attendance dates and the role of each traveller. A delegate attending one day may need a different arrival plan from an exhibitor supporting several working days.
Ask the organiser for registration requirements, access times, the relevant hall or entrance and any briefing or appointment schedule. For events at ADNEC Centre Abu Dhabi, use the venue’s official Getting Here information alongside the event-specific guidance. Do not infer the correct arrival point from a general venue address alone.
Choose flights around the first working commitment
Compare arrival options against the time the traveller needs to be ready, including baggage collection, the hotel journey and room access. If a flight arrives shortly before an important session, ask whether the itinerary leaves a practical margin.
Consider the final working day too. Confirm when the team is actually free to leave rather than assuming everyone can travel as soon as the exhibition closes to visitors. Review the ticket’s amendment and cancellation conditions if the schedule remains uncertain.
Assess hotels against repeated venue journeys
A hotel closer to the airport may not be the most useful base for several days at an exhibition. Compare the actual venue route, meal arrangements, room conditions and total stay cost. Include any meetings elsewhere in Abu Dhabi.
Use our business hotel location guide to organise the shortlist. Ask for the current room category, inclusions and cancellation deadline. If a proposed event rate is mentioned, confirm its availability and conditions rather than assuming it is offered to every traveller.
Build transfers around arrival waves and working hours
Create a pickup plan showing flight, passenger count, luggage, destination and contact person. If colleagues arrive separately, decide whether to request separate vehicles or compare a suitable shared arrangement. Ask the supplier to confirm vehicle and luggage capacity.
For daily venue transport, record the required arrival time, exact drop-off point and return plan. Clarify the waiting allowance, additional-stop charges and the response if a session runs late. Public closing time and the team’s pickup time may be different.
Keep rooming and attendance records aligned
Maintain one current list of who attends, when they arrive and which hotel nights they need. Use the group rooming-list guide if rooms are being arranged together.
Keep registration status distinct from travel confirmation. A hotel reservation does not mean a visitor badge has been issued, and an event invitation does not itself establish entry permission. Verify each traveller’s current document requirements through the relevant official sources.
Separate business travel from exhibition operations
If the team carries equipment or exhibition materials, tell the relevant providers what is involved. Ask the airline about its carriage rules and use the organiser’s process for venue delivery or contractor access. Ordinary passenger transfers should not be treated as a confirmed freight arrangement.
Similarly, meeting space, catering, stand construction and event admission should appear as separate confirmed services if requested. Do not assume they are included because the travel brief mentions an exhibition.
Send one clear request for a quotation
- Event, venue, hall or entrance, and working dates.
- Traveller numbers and arrival/departure waves.
- Departure airports and flight preferences.
- Room mix, nights and essential hotel requirements.
- Airport and daily venue transfers.
- Budget reference, approver and schedule uncertainties.
Ask for itemised costs and responsibilities. Our group travel checklist covers the wider coordination process, while this brief keeps the exhibition’s working schedule at the centre of the booking.
